REVIEWING INCIDENT MANAGEMENT REPORTS

This information was distributed by the Office of Mental Retardation.
Please note: Incident Management (IM) Reports can only be viewed by the Provider IM Rep and the County/Region Incident Manager.

Please follow these instructions when you want to access Incident Management reports. Also note, it is not necessary to follow all of these instructions every time you want to view reports. Steps one through five have to be completed initially, and steps six thru ten every time.

  1. Double click on the computer icon on the Desktop (the desktop is the screen you see when you start windows).
  2. Double click Control Panel.
  3. Double click Internet options.
  4. Scroll down to "Security," which is also identified with a picture of a padlock.
  5. Four boxes will be shown down under the Security title. You need to check the box that says: "Do not save encrypted pages to disk."
  6. Note: You will need to do this section every time you run a report.
  7. Once you run your report it will give you the option to open or save. Choose open and you will prompted to save anyway. Make sure the "Save in" box indicates "My Documents" or "Desktop" - if not, there is a little folder with an up arrow to the immediate right of that field. Click that until that field reads "My Documents" or "Desktop."
  8. Please write down the file name the computer will assign, which is located on the Filename Field below the Save in Field. This is the name of the report that the computer saved.
  9. Click save and the report will open. (IF IT DOES NOT OPEN JUST FIND THE SAVED FILE IN MY DOCUMENTS OR DESKTOP AND DOUBLE CLICK IT TO OPEN IT.)
  10. Print the report and go back into My Documents and/or Desktop and delete the report.

INCIDENT MANAGEMENT SEARCH BOX

We have experienced the unintended generation of temporary demographics as a result of the inappropriate use of the Incident Management search box.

When your intention is to generate an incident you should limit the search criteria used. We suggest that you only use the last name of the person you are looking for, being careful to use the correct spelling. If you search using the last name you will only be returned a list of those people within your scope that have that last name. You can then click on the appropriate person from the list.

When your intention is to enter an incident, one thing that should definitely be avoided is the use of date ranges. In most cases, the date range will prevent you from finding the person even when they are in HCSIS. When a date range is used you will only be returned to the person if they had another incident within that date range, if it has already been entered.

If you have questions, please call the Help Desk at 866-444-1264.
